Promotion and tenure policies for tenured and tenure-track faculty, faculty on the continued appointment track, non-tenure-track instructional faculty and research faculty are spelled out in chapters three, four, five and six respectively of the faculty handbook.

The promotion and tenure process begins at the department level, and continues through the college to the university level. The provost's staff provides support to the university promotion and tenure committee and oversees the process.

Timeline

Faculty preparing for promotion and/or tenure review should first consult with their department head for important deadlines. University-level deadlines for promotion and tenure review are on the Important Dates webpage.

2026-27 Guidelines, Templates, and Cover Pages

Tenured and tenure-track faculty should follow the guidelines below when preparing their dossiers for promotion and/or tenure. Additionally, it is possible to generate a draft Word version of a P&T dossier using the information entered in the Elements faculty activity system. The draft dossier includes a faculty member’s research and scholarship, grants, teaching, and professional activities information which can be edited as needed.

The following templates are provided to assist faculty in preparing their dossiers.

Instructions for Using Elements and the UDC to Generate a Draft P&T Dossier

To generate a draft dossier, follow these steps:

  1. Go to University Data Commons.
  2. Under Controlled Access, click Faculty Activity.
  3. In the navigation menu on the Faculty Activity Data Portal page, click Individual
  4. On the Individual Activity page, click the drop-down menu under Report and select Promotion and Tenure Dossier.
  5. Verify that the Faculty field is populated with your name.
  6. Enter the appropriate date range for the information you want included in the dossier.
  7. Click Download Report at the bottom of the page. 
  8. A draft version of your P&T dossier will be generated and is ready for you to review and complete. 
  9. To view how information in Elements maps to the P&T Dossier template, click Download Report Template at the bottom of the page. Some information required for the P&T dossier is not included in Elements and will need to be added manually. Also, grant awards data and SPOT score data are automatically pulled into the draft dossier from other university data systems. Be sure to review all information included in the draft to confirm its accuracy and ensure it aligns with the P&T dossier guidelines.
